Digital archiving
Digital archiving is moving assets no longer in active use into lower-cost, long-term storage while preserving their integrity, metadata, and future retrievability.
Why it matters in a DAM
Active DAM storage tiers cost more per gigabyte than archive tiers, and libraries that never archive anything keep paying premium rates to store files nobody has touched in years. Archiving only works, though, if the metadata and rights information move with the asset — an archived file stripped of its context is effectively lost even though the bytes themselves still exist.

The harder part is doing it without losing what makes the asset useful once it is moved.
Metadata is the part most commonly lost in a poorly designed archiving process. If an asset’s tags, credit line, rights terms, and version history live in the DAM’s database rather than embedded in the file itself, moving the file to cold storage without also exporting or migrating that surrounding record leaves a bare file with no way to find or contextualize it later — technically preserved, practically useless.
A working archiving process also needs a defined retrieval path: how long it takes to bring an archived asset back to active use, who can request it, and whether restoring it also restores its original metadata and version history or requires manual reconstruction. Archive tiers that are cheap to write to but slow or costly to read from are a legitimate tradeoff, but only if the team knows what that tradeoff actually costs them when they need something back.
