Hard proofing
Hard proofing is producing a physical, ink-on-substrate output from a print-ready file to check color, layout, and material before a full print run, as distinct from an on-screen soft proof.
Why it matters in a DAM
In a DAM, the exact file version and embedded ICC profile that generated the hard proof has to be the one released for the press run — if a newer edit or a re-exported derivative reaches the printer instead, the physical proof no longer represents what actually gets printed, and the mismatch surfaces only after thousands of copies are run. Studios also store the signed or photographed hard proof next to the asset record as an approval artifact, so a print vendor can be held to a contract-proof standard if the delivered job doesn't match.

Inside a DAM, hard proofing only works as a control if the file that gets proofed is locked to the file that gets printed. That means the print-ready master, its embedded ICC profile, and the proof itself all need to trace back to a single asset version in the system. If a designer uploads a revised file after the proof was approved, or if an automated export pipeline regenerates a derivative with a different color profile, the DAM has to either block the mismatch or flag it clearly — otherwise a printer runs a job against a file nobody actually held a proof against.
The approval itself is worth treating as an asset in its own right. A photographed or scanned copy of the signed contract proof, filed against the same asset ID with a date and approver name, gives a rights or production team something to point to if a delivered print run comes back off-color — the printer’s contract-proof obligation only holds if there’s a record of exactly what was approved.
