That distinction is what separates a DAM&#8217;s repository from a network drive or cloud storage folder holding the exact same files \u2014 the files themselves might be identical, but only one of the two setups lets a user search by attribute or restrict access at the individual-asset level.<\/p><p class=\"wp-block-paragraph\">The practical value shows up at scale. In a folder system, finding a specific asset among thousands means either remembering (or guessing) the folder path or opening files one by one; in an asset repository, the same search happens by querying metadata fields \u2014 rights status, campaign, product line, expiry date \u2014 regardless of where the file notionally &#8220;lives.&#8221; Permissions work the same way: a repository can restrict a single sensitive asset to a specific group without needing to isolate it into its own folder.<\/p><p class=\"wp-block-paragraph\">The mistake that undercuts this most often happens during migration: an organization moves its files into a DAM but simply recreates its old folder tree as the primary navigation, without building out the metadata taxonomy that would actually make the repository searchable by attribute.
